Successful Event Planning: Council of School Participants

As the newly elected secretary for New Jersey Nursing Students, Inc., it was my honor to organize the first major event of the year, the Council of School Participants (COSP). This year, our theme was “Stacking the Deck: Planning Your Future in Nursing,” and the event consisted of several speakers covering the  topics of resume writing, interviewing, and landing the perfect externship. With a great deal of teamwork and effort from the entire board, I am proud to say our event was a success; we had over 60 attendees, wonderful door prizes, and a $375 scholarship giveaway!

For many school chapters event planning can promote active membership and serve as a wonderful opportunity to increase your organization’s presence on campus. However, organizing any event can seem like an overwhelming endeavor. Thus, it is crucial to have a motivated team, clearly delegated roles and responsibilities, and ample planning time to ensure your event is a success! The following tips outline important aspects of event planning to encourage activity within your own school’s student nurses organization:

Start Early: It is extremely important to begin planning any event as far in advance as possible. Starting early gives your organization time to develop deadlines for the completion of various tasks, advertise appropriately, and allow time to handle any roadblocks that may come up.

Delegate Appropriately: Appoint members of your organization to handle various segments of the event (check-in, door prizes, food, etc.). Doing so ensures that minute details are less likely to be overlooked; simply put, you have all of your bases covered. Furthermore, having the entire team involved promotes collaboration and serves as an excellent team-building activity for your organization!

Anticipate Challenges: During any event, it is guaranteed that something, no matter how small, may go wrong. A speaker may be lost or arrive late, some small detail has slipped through the cracks, or  vital memberd of your team are not present to fulfill their duties. Always remember to prepare for unexpected circumstances by having a back-up plan ready, and most importantly, remain calm during difficult situations. Focus on the solution, not the problem, and you will certainly pull through.

Aside from these tips, it is also crucial to remember the ultimate goal of any event or activity: to empower, educate, and strengthen the student nurses of your school’s chapter. Organizing events for your student nurses organization is a wonderful way to promote student involvement, aid fundraising efforts, and give back to your members. With just these few simple tips, you can organize a successful event for the student nurses of your school!
